Digital Collaboration Guide, a SharePoint Architect's view

A week ago the Emerging Business Team at the Microsoft Silicon Valley Campus hosted a SharePoint 2010 competition titled “SharePoint 2010 SocialFest” where seven startup companies were given one week to develop an application on SharePoint 2010. During the week long event activities such as talks from developers, SharePoint engineering and product management teams, and venture investors were done. By Friday, the contestants presented their applications to a panel of judges which included Charles Schwab & Co. and McKesson. The winner of the competition was Huddle, which was basically synching up external team sites.

The rest of the application developed are the following:

1. Calinda MindUP – presents email interactions into visual maps which help create conversations between groups enhancing collaboration.

2. Confer – is simply twitter on SharePoint 2010 for both internal and external employees.

3. Cortex Intelligence – is an intelligent RSS tools which is presented via webparts fpr discussion, sharing, etc.

4. Leverage Software – makes your email thread into on-deman social workspace for sharing with others.

I agree with David Linthicum that companies should be able to better analyze their data to optimize their business operations. This is particularly, true in this economic crisis where companies are tightening their belts:

So, what I’m saying is that the real value from business intelligence is providing a dashboard into the business, and the ability to take corrective action to optimize the business. Current data mixed with historical data. While we’ve been here before around the use of BAM (business activity monitoring), we’ve focused mostly around monitoring and not action. We do have companies today, such as Vitria, that are providing technology in this area, but I’ve yet to see wide spread adoption even though the value is tremendous.

Everyone in the Enterprise or organization should have the facility to access information from a central point where users share and use the same data. This is the ideal scenario of a company that allow employees to boost their productivity that directly affects the organizations bottomline.

Below are common and necessary features and characteristics of a portal solution:

1. Consolidation and integration of information – a portal is a central access point of information; and consolidation and integration of information is a necessary trait of a portal solution.

Information comes from different departments—HR (departments are also divided into various entities like recruitment, performance, evaluation), Sales, Accounting, Logistics, etc. Information also come from different mediums—hardcopy, database, lob, web services, etc. Likewise it could also come from different sources like inside the company, vendors, partners, and other external entities. Given that there are so many variables in play, a portal solution aims to put all these information to a single point where all users are able to share and use the same data.

For example, Recruitment from the HR department updates employee who were hired and this information should be accessible to other departments as well. The performance and evaluation groups in the HR should use the same information of the employee and update it accordingly. Likewise, Sales department may report bonuses to the HR for the specific employee and their resources should be able to access and update the same person from the HRs record.
